Governance

As with most professional associations, RMCA operates according to a Code of Bylaws to:

  • Define the scope and purpose of the Association
  • Clarify roles and responsibilities of the Board of Directors
  • Outline rules for and types of membership
  • Designate the Association's financial standards
  • Address other administrative activities such as voting and amending the Bylaws.

Board Responsibilities

Recorded below are the job duties associated with each of the Board positions. If you have questions or comments about any of the positions, please contact the RMCA President.

President-Elect

Basic Function: To coordinate and collaborate with the RMCA board and others to plan and establish continuity to the new term and board. To ensure a smooth and effective transition to a new year and a new board.

Essential Functions:

  • Establish certification offerings, schedule and logistics for next term (3rd Quarter) with special emphasis on the earliest session which will require much vigilance to plan, promote and administer (See the President job description and associated instructions).
  • Define mission, goals and strategy for next term (4th Quarter).
  • Collaborate with Past-President and President to identify next term board and to complete election (3rd & 4th Quarter).
  • Clarify roles and essential functions for each incoming board member.
  • Attend the GPN conference.

Essential Relationships:

  • World at Work administration to plan and establish certification sessions
  • RMCA Board Membership to identify next term board members

VP, Programs

Basic Function: Manage and coordinate programs.

Essential Functions:

  • Conduct "Needs Analysis" of member so programs can be targeted to member requests
  • Identify programming needs (4th Quarter).
  • Define annual programming plan (4th Quarter).
  • Obtain board approval on annual programming plan (1st Quarter).
  • Lead and coordinate the execution of the programming plan.
  • Plan and coordinate Luncheon Programs within budget constraints. Find Program Presenters and venues.  Make all arrangements for programs.

Essential Relationships:

  • Coordinate with Treasury regarding program budget needs, venue payments and other program expenses.
  • Coordinate with Membership and Publicity to notify members and public about programs.
  • Coordinate with all board members and association members to obtain assistance in managing logistics for programming.

VP, Membership

Basic Function: Manage the membership.

Essential Duties:

  • Refine process for managing membership records, dues, applications, etc.
  • Maintain the accuracy of the membership database
  • Initiate renewal of memberships
  • Receive and respond to membership applications
  • Account for membership dues
  • Collaborate with Treasurer to account for membership payments
  • Create membership directory
  • Create membership listings as requested (for brochures, newsletter, email, promotions, etc.)
  • Identify and pursue new members through various marketing plans including an annual membership drive

Essential Relationships:

  • Treasurer
  • VP of Programs
  • World at Work
  • Communications Chair(s)

Secretary

Basic Function: Function as the Board meeting record-keeper.

Essential Duties:

  • Transcribe notes at each Board meeting
  • Distribute minutes of the previous Board meeting 1 week prior to the next Board meeting
  • Maintain record of approved minutes

Essential Relationships:

  • President

VP, Treasury

Basic Function: Manage the finances of RMCA.

Essential Duties:

  • Maintain an accurate bank account balance and income statement at all times
  • Establish the annual budget
  • Provide accurate report to Board members at each Board meeting.
  • Respond to member, vendor and other inquiries pertaining to RMCA financial related matters
  • Ensure that RMCA operates within established fiscal requirements, including a non-profit designation

VP, Education

Basic Function: Maintain educational and development materials on behalf of RMCA.

Essential Duties:

  • Maintain a current library of WorldatWork seminar and other course and educational materials
  • Establish an annual budget for education
  • Respond to member, vendor and other inquiries
  • Make available and accurate listing of existing materials
  • Establish and monitor a check out system for materials and follow up to retrieve materials
  • Maintain web information accuracy for education pages
  • Make available a sample of education materials at monthly member meetings
  • Manager CHRA/RMCA scholarship program within the community

Past-President

Basic Function: Function as advisor for present board

Essential Duties:

  • Advise incoming president to prepare for the fiscal year
  • Advise new Board members
  • Identify slate of Board members
  • Create the ballot for election of new Board members.  Send the ballot and tabulate results.

Communications Chair

Basic Function: Develop and distribute RMCA communications using primarily electronic media.

Essential Duties:

  • Manage the web vendor relationship
  • Ensure the effectiveness (accuracy, timeliness, completeness, etc.) of the RMCA website
  • Act as primary liaison between website and RMCA Board for all web-related areas
  • Collaborate with others to receive web updates with information of programs, activities, RMCA sponsored certification sessions, etc.
  • Publish quarterly newsletter to members.

Essential Relationships:

  • VP of Programs
  • VP of Membership
  • President

South-area Representative

Essential Functions:

  • Represents and promotes RMCA through organized events and formal/informal networking opportunities
  • Recruits and services members from Southern Area
  • Represents interests of Southern Area at monthly board meetings (at least on quarterly basis)
  • Organizes programs in Colorado Springs to meet the needs of Compensation & Benefits professionals in the area (heads up planning committee, implements/executes programs, coordinates with three other HR groups in town for advertising)
  • Serves as contact to Southern Area members and potential members
  • Organizes informal gatherings of Southern Area members for networking and relationship building purposes
  • Provides personal contact/follow up with new Southern Area members
